Terms, Condition & Policies for Transformative Coaching & Art Therapy

1. Package Payment and Refund Policy

  • All packages are prepaid and non-refundable. Unused sessions within a package cannot be redeemed for cash, ensuring dedicated scheduling and priority access for clients.

  • At the provider’s discretion, unused sessions may be credited for future use or transferred to another client, confirmed in writing.

  • Packages may include Transformative Coaching, Art Therapy, or a combination, depending on client needs.

  • All sessions packages must be completed within the allocated timeframe as follows:

  • 3-Months Package- 13 sessions to be completed within 3 months of the start date.

  • 6-Months Package- 26 sessions to be completed within the 6 months of the start date.

  • 1-Year Package- 52 sessions to be completed within the 1 year of the start date.

    Sessions may be scheduled flexibly within the allocated timeframe. Any unused sessions after the end of the package period will expire unless otherwise agreed in writing.

  • Packages do not automatically renew unless agreed in writing.

    2. Adaptation of Sessions

    The content, focus or structure of sessions may be adapted during the package to better meet the client’s evolving goals and outcomes.

3. Scheduling & Cancellations

  • Sessions are scheduled in advance to secure dedicated time for each client.

  • Clients must provide at least 24 hours’ notice for cancellations or rescheduling.

  • Sessions cancelled with less than 24 hours’ notice may be deducted from the package.

  • Special arrangements for UHNW clients: such as travel to private residences, extended hours, or enhanced privacy may incur additional fees.

  • Flexibility and bespoke scheduling can be arranged on a case-by-case basis and confirmed in writing.

4. Client Responsibilities

  • Attend scheduled sessions punctually.

  • Engage openly, honestly, and respectfully in the coaching or art therapy process.

  • Communicate any concerns, changes, or special requirements in advance.

  • Understand that outcomes are influenced by the client’s commitment and participation.

5. Coach & Art Therapist Responsibilities

  • Provide a safe, supportive, and nonjudgmental environment for all sessions.

  • Maintain strict professional boundaries and adhere to the highest ethical standards.

  • Disclose any potential conflicts of interest in a timely and transparent manner.

  • Protect client confidentiality, privacy, and personal information at all times, ensuring secure handling of all records, notes, and materials.

    • Written notes taken after Art Therapy sessions are stored in password-protected files, labeled only with client initials.

    • Artwork created during sessions is stored securely in a locked folder, ensuring both physical and digital safety.

6. Confidentiality & Privacy

  • All sessions are confidential, except where disclosure is required by law or safeguarding obligations.

  • Supervisors may review elements of sessions anonymously to ensure quality of practice; no names, locations, or identifying details will be shared — only the client’s pronoun will be used.

  • Photos of artwork created during Art Therapy sessions and written session notes may be taken for client progress records, reflection, and supervision.

  • All photos and notes are stored securely in password-protected folders, labeled only with client initials.

  • These materials will not be shared publicly or with any third party without the client’s explicit written consent.

  • No other session content is recorded or shared without explicit written consent.

7. Limitations of Services

  • Transformative Coaching is not a medical or mental health treatment and does not replace professional therapy or medical care.

  • Art Therapy is a creative, therapeutic approach that supports emotional well-being and works in a psychodynamic manner to explore past experiences and traumas. While it can complement professional therapy and provide psychological benefits, it is not a substitute for specialized therapy such as EMDR or other modalities for which the provider is not qualified.

  • If a client feels they would benefit from or prefer professional medical or mental health support, the provider can arrange a referral to a qualified professional.

8. Consent

By booking a session or purchasing a package, clients acknowledge that they:

  • Understand the nature and boundaries of coaching and art therapy services.

  • Agree to the package and refund policy, scheduling terms, and professional conduct expectations.

  • Participate voluntarily and with full understanding of the services provided.

9. Payment & Billing

  • Full payment is required to secure sessions or packages.

  • Payments are processed securely via Stripe, PayPal, or Square.

  • Any additional fees for bespoke arrangements will be agreed in writing before scheduling.
